Decide What to Share and Accept

Before you collaborate, decide what each collaborator can see and what you'll bring into your Catalog in return. You collaborate through a single, consolidated passport view, and you stay in control the whole way: nothing enters your Catalog, or a collaborator's, without explicit acceptance.

Set your sharing defaults

Set your default sharing preferences once on the Settings page, and they apply to every new passport, so you don't configure sharing from scratch each time.

  • Product data: choose which fields, documents, and value chain information to share by default.
  • Organization data: choose which organization fields and document types to share by default, such as facility addresses and certifications.

You can still adjust what you share on any individual passport, and when you change your defaults you can push the update to all affected passports at once. Organization sharing settings apply to all organizations in your value chains, not to individual ones.

Choose what you accept

When a collaborator shares updates with you, you decide exactly what to bring into your Catalog:

  • Select the specific fields and documents to accept from the passport.
  • Choose which value chain information to add to your Catalog. When you accept it, the details and documents attached to it come with it.
  • Review before you accept. You can see how incoming updates would change your Catalog data before you apply them, and if accepting would replace information already in your Catalog, you'll be warned first.

Where these controls live. Day-to-day sharing and acceptance happen inside each passport. Account-wide controls live in Settings: use Passport Data to review and manage shared passport data, and Collaborators to see which organizations are connected to you for collaboration.

Key details

  • No changes are made to your Catalog without your explicit action. You must accept changes from a passport to move them in.
  • When you accept value chain information, all the details and documents associated with it are accepted too.
  • If accepted data would override existing information in your Catalog, you'll be warned first.
